Google is adding more AI-powered tools to Drive to help users manage cluttered folders, locate files, and organize documents with less manual effort. Gemini can analyze files, suggest where they should be moved, and help users create a more structured Drive based on the content of their files and existing organization patterns.
The Suggest File Moves feature is designed for files that are not organized into folders. Gemini analyzes the content of eligible files, existing organization patterns, and general organization practices before suggesting whether to move files into existing folders or place them in newly created ones.
The feature supports PDFs, Google Docs, Sheets, Slides, Microsoft Office files, images, and videos with transcripts. Gemini can also organize shortcuts. Users need Editor access to the relevant files.
Note: Gemini does not move files without the user's permission. After reviewing the suggestions, users can select which recommendations they want to accept and then confirm the move.
Users can also refine Gemini's recommendations instead of accepting them as-is. They can provide specific instructions, including asking Gemini to group files by year or organize them according to a particular project.
They can also organize meeting notes, with Gemini grouping relevant notes and agendas. Users can choose whether they want more new folders or fewer new folders, depending on how detailed they want their Drive structure to be.
Suggested folder names can be shortened or renamed. Users can also change the destination of a suggested file before approving the move. If a suggestion is rejected, Gemini will not suggest that same file-and-folder pairing again for 30 days.
Gemini can also reduce the need to remember exact file names when searching through Drive. Users can describe what they are looking for in everyday language rather than relying only on exact keywords.
For example, a user can ask Gemini to find presentations about a particular marketing campaign. Gemini can search for relevant files and folders across eligible Google Workspace content. On mobile, users can also receive AI Overviews that summarise answers to their questions, with citations they can open to check the referenced files.

Organization is not limited to moving files. Gemini can summarise files and folders, including Google Docs, Slides and Sheets, PDFs, videos and images.
On Drive's web version, users can select a file or folder and choose the Summarise option. The summary is intended to help users understand the main points without having to review an entire document or a large collection of files. Google notes that Gemini may not include every file when summarising a selected folder, and it can analyze only one folder at a time.
For larger projects, users can create Drive Projects containing specific files, folders, or emails. A project keeps a defined set of sources together, allowing users to have multiple conversations with Gemini using the same documents.
Projects can also be shared with colleagues while the original files remain in their existing Drive locations. Creating a project does not move or change the location or permissions of the original files. New Drive projects can currently be created on the web, while mobile users can view existing projects, summaries, and conversation history.

To use the file organization feature, users need to open drive.google.com on a computer and go to My Drive or a folder. If eligible files are available, the Suggest file moves button will appear.
After selecting it, Gemini analyses the loose files and presents recommendations. Users can refine the grouping, change destinations, rename folders, reject suggestions, or select specific files before clicking Move files and confirming the action. Google also provides an Undo option if a file is moved by mistake.
The feature is currently available on Drive web in English. Gemini in Drive requires an eligible Google Workspace or Google AI plan.
